How to Get a Fingerprint Date for Your TRC in Poland

Everything you need to know about biometric appointments under MOS 2.0 — how appointments are scheduled, what the Wezwanie is, and what to bring on the day.

In short: under MOS 2.0 (from 27 April 2026), you cannot book a fingerprint appointment yourself. You must wait for an official Wezwanie letter from the Urząd Wojewódzki. Passports are no longer stamped — instead you receive a PDF Confirmation of Submission as proof of legal stay. Missing the appointment without written notice = case closed.

Why Are Fingerprints Required for a Polish TRC?

Every Temporary Residence Card issued in Poland contains a biometric chip storing the holder's fingerprint data — a legal requirement under EU standards for residence documents. Before your physical card can be produced, the Urząd Wojewódzki must collect your biometric data in person. There is no way to submit this remotely or skip it.

The fingerprint appointment is therefore not optional. It is a mandatory technical step in the production pipeline. No biometrics collected = no card issued, regardless of how strong your application is or how long you have been waiting.

Red Stamp vs. MOS 2.0 Confirmation: What Has Changed?

🔴 Old system (pre-MOS 2.0)

At the fingerprint appointment, the inspector placed a red stamp (pieczątka) in your passport, confirming your application was submitted and your stay was legal during processing. This was your physical proof of legal stay.

💻 MOS 2.0 (from 27 April 2026)

Passports are no longer stamped. Instead, the Confirmation of Submission (PDF) serves as evidence that your application was filed correctly and on time — and as proof of legal stay while the case is pending.

Important: the Confirmation of Submission under MOS 2.0 only legalises your stay within Poland. It does not allow you to travel to other Schengen countries or re-enter Poland if you leave.

How Fingerprint Appointments Work Under MOS 2.0

All new residence permit applications (from 27 April 2026) must be submitted electronically through the MOS 2.0 system. Applications by post are no longer accepted.

Wait for the Wezwanie letter

After your application is registered, the immigration office will review the case and determine when biometric data collection is required. You will receive an official Wezwanie (summons) by post with your scheduled date, time, and address. There is no online booking — you cannot independently schedule this appointment.

Can I request an earlier appointment?

You may submit a written request asking the office to issue your fingerprint appointment notice sooner. However, there is no guarantee it will be acted upon quickly. Whether an appointment is scheduled promptly depends on the individual inspector and the workload of the office.

Attend your appointment

On the scheduled date, appear at the Urząd Wojewódzki with all required documents. The inspector verifies your paperwork and collects your fingerprints digitally.

⚠️ Check your physical post box regularly. The Wezwanie arrives by traditional mail. Missing it — or reading it too late to act — is one of the most common and costly mistakes in the TRC process.

What is a Wezwanie and How to Read It?

A Wezwanie (official summons) is a formal letter from the Urząd Wojewódzki instructing you to appear at a specific date and time. When it arrives, check these fields immediately:

  • Data i godzina — the date and time of your appointment
  • Miejsce — the address and room number where you must appear
  • Lista dokumentów — the list of documents you are required to bring
  • Termin — the deadline. Treat it as absolute — it is not flexible

What Documents to Bring on the Day

Checklist for your fingerprint appointment:
  • Valid passport — original, all pages accessible
  • The Wezwanie letter — bring the original
  • Proof of fee payment — stamp duty receipt (opłata skarbowa)
  • Załącznik nr 1 — if required for your application type (confirm in the Wezwanie)
  • All documents specified in your Wezwanie — employment contract, lease, etc.
  • Photos (old system only) — 4 passport-format photos 35×45 mm if your case was submitted before MOS 2.0. For MOS 2.0 cases, the digital photo was submitted online.

Frequently Asked Questions (FAQ)

❓ What happens if I miss my scheduled fingerprint appointment?

Missing your Wezwanie appointment without prior written notice carries a severe consequence: your application may be left without consideration (pozostawienie wniosku bez rozpoznania). This means your case is closed without a decision, your legal stay confirmation may no longer be valid, and you must start the entire application process from scratch.

If you know in advance that you cannot attend, contact the Urząd Wojewódzki before the appointment date with a written request to reschedule, explaining the reason (illness, documented emergency). Do not simply not show up.

❓ Can I just walk into the Urząd Wojewódzki without an appointment?

In virtually all major voivodeships in 2026, walk-in visits for TRC biometric appointments are not accepted. The offices operate strictly on a Wezwanie-scheduled basis. Arriving without an appointment will result in being turned away. Some offices reserve a limited number of urgent walk-in slots for cases where a permit expires imminently — but these are not guaranteed, not publicly advertised, and should not be relied upon as a plan.

❓ Do I still get a red stamp in my passport?

No — not for cases submitted under MOS 2.0. The red stamp applies only to older applications submitted before the MOS 2.0 rollout. For all new applications (from 27 April 2026), the PDF Confirmation of Submission replaces the red stamp as proof of legal stay.

Summary: all new processes from 27 April 2026 are handled electronically. Wait for the Urząd Wojewódzki to send you a Wezwanie with your scheduled appointment.
